The Billye Tellinger and Diane Coblentz Memorial Fund

The Program 

Clan Johnston/e in America (CJA) is a non-profit volunteer organization that promotes Clan Johnston/e history and encourages community collaboration, and the study of Scottish Culture and History. 

This Memorial has been created in memory of Billye Tellinger who passed in 2017 and her sister Diane Coblentz who passed in 2019. 

Billye and Diane were very active long-time Members of Clan Johnston/e, who for many years enthusiastically hosted Clan Tents at Estes Park, CO, and were instrumental in recruiting many, many CJA Members. Billye served as an Officer at Large on the CJA Council. The sisters were blessed with the opportunity to take many trips to Scotland and they thoroughly celebrated their Scottish heritage with all interested parties. 

This Memorial Fund is intended to help inspire others to enthusiastically support CJA Tent Hosting in their area. Funds are provided for CJA approved Tent Host support materials for both new and existing Tent Hosts. 

The Tent Host materials remain the property of CJA and must be returned when no longer needed. Returned materials will be recirculated with active CJA Tent Hosts. 

Applicants must demonstrate a strong commitment to Tent Hosting in their area. They must also commit to Hosting and recruiting new Members with great enthusiasm in the spirit of the founding sisters. 

Grants will be paid for approved receipts for CJA Tent Hosting materials as defined below. 

Eligibility 

Applicants to the Billye Tellinger and Diane Coblentz Memorial Fund are open to CJA Members who demonstrate a commitment to Tent Hosting in the spirit of this program. 

Qualification will be solely determined by the CJA Tent Hosting Committee at their discretion. 

Awards 

Selection of recipients is made by the CJA Tent Hosting Committee. In no instance does any Officer or Member of the Clan outside the Committee play a part in the selection. 

Any Tent Hosting Committee member or CJA Council member whose immediate relative is applying for a grant will refrain from voting on approvals for submitted applications. Should questions arise regarding approvals, the final decision will be determined by the Tent Hosting Committee Chairman with review and approval by the CJA President. 

All applicants agree to accept the decision as final. The Tent Hosting Committee may decline to award any grants if no viable applications are received. Not all applicants to the program may be selected as recipients. Members may reapply to the program each year they meet eligibility requirements, however priority will be given to new applicants. 

Application 

Interested Tent Hosts must complete the application form found on the CJA website and provide receipts for CJA approved purchased materials. 

Applicants will receive acknowledgment of receipt of their application. If an acknowledgment email is not received within two weeks, applicants may call or email the Chair of the Tent Hosting Committee directly to verify that the application has been received. 

Applicants are responsible for gathering and submitting all necessary information. Applications are evaluated on the information supplied; therefore, all questions must be answered as completely as possible. Incomplete applications will not be evaluated. All information received is considered confidential and is reviewed only by the Tent Hosting Committee. 

Selection of Recipients 

Recipients will be selected based on their Tent Hosting history or plans for a new location. 

The amount paid may vary up to 100% of the cost and will vary within the total CJA budgeted amount for the fiscal year. 

Payment of Grants 

Payment shall be made to the applicant based on the receipts supplied and the % of the grant awarded. Checks will be mailed to the address noted on the application. Applicants must inform the Committee of any address changes. 

Obligations 

Recipients are required to send a report to the Tent Hosting Committee explaining how their grant helped improve their Tent Hosting experience. Excerpts from these reports may be published in the CJA Spur & Phoenix newsletter. 

Tent Hosting materials compensated by grants remain the property of CJA and must be returned when no longer needed. Returned materials will be re-distributed to other CJA Members in need. 

Revisions 

Clan Johnston/e in America reserves the right to review the terms and conditions and the procedures of this Memorial Fund and to make changes at any time including termination of any of the specific funds or of the entire program.
